Getting a PDF under 500KB is tighter than most people expect. At 500KB you are working with roughly the equivalent of 5-8 compressed JPEG images or about 250 pages of pure text. Here is how to hit that target without destroying your document.

I use a three-pass approach when I need to hit 500KB:

Pass 1: Image Optimization (Usually Enough)

Downsample all images to 96 DPI and recompress as JPEG quality 65. This alone gets most 2-5MB PDFs under 500KB. The images will look slightly soft if you zoom in past 100%, but at normal viewing they are fine.

Pass 2: Font and Metadata Cleanup

If Pass 1 did not get you there:

• Subset all fonts (keep only used characters)
• Remove all metadata, thumbnails, and bookmarks
• Flatten any form fields or annotations
• Remove ICC color profiles (saves 50-200KB per profile)

Pass 3: Content Restructuring

If you are still over 500KB after Passes 1 and 2, the document has too much visual content for 500KB. Options:

• Convert decorative images to lower quality or remove them
• Replace embedded charts with simplified versions
